Job Summary
As an Escrow Officer, you will manage the escrow and closing process for residential and commercial real estate transactions in Washington State from inception to completion. You will serve as a neutral third party, ensuring all statutory, contractual, and lender requirements are met while providing exceptional service to buyers, sellers, real estate brokers, and lenders.
Key Responsibilities

Manage Escrow Transactions: Oversee the opening, processing, and closing of escrow files in accordance with the Purchase and Sale Agreement, mutual escrow instructions, and Washington State escrow laws (RCW 18.44).

Prepare and Review Closing Documents: Draft and review Escrow Instructions, Closing Disclosures (CD), ALTA Settlement Statements, Real Estate Excise Tax Affidavits (REETA), deeds, and other necessary closing instruments.

Clear Title Conditions: Review title commitments, clear requirements (e.g., payoff liens, judgment releases, HOA demands), and coordinate with title underwriters to ensure clear title can be insured at closing.

Coordinate Closings: Schedule signing appointments (including mobile or remote online notary services), facilitate execution of loan and conveyancing documents, and ensure all closing conditions are fully satisfied.

Fund Management & Disbursement: Verify receipt of earnest money deposits and closing funds (via wire or cashier's check), manage the disbursement of funds post-recording, and ensure accurate, timely payouts.

Recording & Filing: Coordinate the recording of legal documents with county auditor offices across Washington State and file required real estate excise tax forms.

Ensure Regulatory Compliance: Maintain strict adherence to TRID (TILA-RESPA Integrated Disclosure), Consumer Financial Protection Bureau (CFPB) guidelines, Washington Department of Financial Institutions (DFI) rules, and ALTA Best Practices.

Client Communication & Problem Solving: Maintain clear, proactive communication with brokers, lenders, buyers, and sellers. Mediate transactional friction and resolve title/escrow issues to ensure smooth, on-time closings.

Maintain Records: Keep meticulous, secure file documentation in compliance with state record retention standards and privacy laws.
Qualifications

Experience: Minimum of 2–3 years of experience as an Escrow Officer (or Escrow Assistant ready to step up) in Washington State.

Licensing / Credentials:

Active Washington Limited Practice Officer (LPO) license under APR 12 strongly preferred (or active WA Notary Public commission required).

Ability to meet Washington Department of Financial Institutions (DFI) background/escrow officer licensing requirements.

Technical Knowledge:

Deep understanding of WA real estate closing practices, purchase contracts (e.g., NWMLS/WA form agreements), ALTA settlement statements, and TRID timing requirements.

Familiarity with Washington Real Estate Excise Tax (REET) rates and filing procedures.

Software Proficiency: Experience with industry-standard escrow/title platforms (e.g., SoftPro, ResWare, RamQuest, Qualia).

Skills: Exceptional detail orientation, organizational skills, strong conflict resolution abilities, and clear communication under tight deadlines.
