Job Opportunity: Office Assistant / Document Specialist

We are seeking a Document Specialist for a national title insurance company based in Houston.

We are looking for a motivated individual to join our Houston team. This role is foundational to our operations, ensuring that vital legal and property records are digitized, organized, and filed with precision.

No prior experience is required; we are looking for a dedicated professional willing to learn the intricacies of title documentation.

Primary Responsibilities

  • High-volume scanning of physical closing files and legal documents into our digital database.

  • Accurately uploading documents to the internal management system, ensuring all files are named and categorized correctly.

  • Executing the e-filing process for legal documents in accordance with county and state requirements.

  • Reviewing scanned images for clarity and completeness to ensure permanent records are legible and accurate.

Required Skills:

  • Ability to operate high-speed scanners and navigate basic folder structures and cloud-based filing systems.

  • A "sharp eye" for identifying missing pages or errors in documentation.

  • Strong time-management skills and the ability to handle repetitive tasks with a high degree of accuracy.

  • Clear verbal and written communication skills for coordinating with the administrative team.

Desired Skills:

  • Familiarity with Adobe Acrobat or similar PDF management software.

  • Basic understanding of Microsoft Office Suite (Word, Outlook).

  • Prior experience in a clerical, library, or administrative retail environment.
