Position Summary
Support attorneys in residential and commercial real estate transactions from intake through post closing. Manage due diligence, title/survey review coordination, document preparation, closing logistics, escrow/trust accounting support, and post closing recordings and filings in compliance with Georgia law and local county practices.
Key Responsibilities
Transaction Management

Open new matters; build and maintain detailed closing checklists, timelines, and contact sheets for all parties (buyers/sellers, lenders, brokers, title, surveyors, HOAs, exchange intermediaries).

Coordinate across multiple simultaneous transactions (acquisitions, dispositions, refinances, developments, and leases) and track critical dates (financing, due diligence, title objection, closing, post closing deliverables).

Schedule and facilitate attorney led closings (Georgia is an attorney closing state); prepare closing rooms or virtual sessions and ensure required signers, IDs, witnesses, and notaries are present.
Due Diligence (Georgia Focus)

Order and track title commitments, ALTA/NSPS surveys, zoning letters, payoff statements, HOA estoppels, tax status/parcel reports, and UCC/litigation searches.

Analyze title commitments and exceptions; compile title/survey objection lists; coordinate curative actions (lien releases, subordinations, affidavits, gap coverage).

Obtain entity formation and authority documents (LLC/LP/Corp), good standing certificates, and resolutions; draft signature packets and manage execution logistics.
Document Preparation (Under Attorney Supervision)

Prepare and assemble drafts of: purchase & sale agreement addenda, closing instructions, deeds (Warranty, Limited Warranty, Quitclaim), Security Deeds (Georgia instrument), assignments of leases/rents, UCC 1 filings, memoranda of lease, easements, closing affidavits, lien waivers, and settlement statements (ALTA; HUD 1 for non TRID).

Prepare lender and title company deliverables: closing packages, escrow letters, prorations, tax/cash to close calculations, wire letters, and post closing checklists.

Assist with commercial leasing: abstracts, estoppel certificates, SNDAs, and rent rolls.
Closing, Escrow & Compliance

Balance files prior to funding; assist with trust/escrow accounting tasks consistent with attorney instructions and applicable rules; verify and document wire instructions and anti fraud procedures.

Support TRID compliance for consumer residential loans (CD timing, settlement statement reconciliation).

Prepare and submit federal and state tax forms as applicable (e.g., Form 1099 S, FIRPTA certificates/withholding coordination).

Coordinate Georgia transfer related filings: complete PT 61 e filings and calculate/confirm real estate transfer tax and intangible recording tax for security deeds.
Recording & Post Closing

Assemble and submit recordable originals; e record through county/authorized portals (e.g., GSCCCA/Simplifile) or arrange courier filing with the Clerk of Superior Court.

Track recording confirmations and policy issuance; clear post closing stipulations; finalize owner's and lender's title policies; deliver closing binders (digital and/or physical).

Maintain impeccable closing files for audit/readiness; perform post closing tickler reviews and updates.
Communication & Administration

Serve as the day to day point of contact for clients, lenders, brokers, and title underwriters; provide status updates and coordinate signatures.

Maintain organized digital matter files; enter time/billable tasks accurately; support periodic reporting on pipeline, key dates, and risk items.
Required Qualifications
-
Experience: Typically 3+ years as a real estate paralegal or closing paralegal (residential, commercial, or mixed). Strong juniors with high volume residential closing experience will be considered.

Knowledge: Working understanding of Georgia real property practice, including security deeds vs. mortgages, county recording procedures, PT 61, transfer/intangible taxes, and attorney closing requirements.

Technical: Proficiency with Microsoft 365; document comparison; PDF assembly; and real estate platforms such as SoftPro, Qualia, RamQuest, ResWare, Simplifile/GSCCCA eFile (or similar).

Compliance: Familiarity with TRID timelines, escrow/trust accounting concepts, wire fraud prevention, and privacy/confidentiality protocols.

Education: Paralegal certificate or relevant degree preferred; equivalent experience considered.

Other: Ability to work in the U.S.; availability for periodic after hours closings near month end.
Preferred Qualifications

Commercial transaction background (multifamily, retail, office, industrial, development).

Lease abstraction, estoppel/SNDA coordination, and construction draw support.

Experience with 1031 exchanges, entity formations, and multi parcel assemblages.

Notary public (Georgia) a plus; Spanish or other language skills helpful in residential practice.
