Job Description:
The Executive Assistant plays a key role in the efficiency and smooth running of the accounting firm, providing crucial support to the executive team and contributing to the overall success of the organization.
Main responsibilities:
- Prepare and organize the necessary documentation for meetings, presentations and reports.
- Handle correspondence, emails and phone calls effectively.
- Monitor progress of assigned tasks, ensuring timely and efficient completion.
- Serve as a liaison between the executive team, accounting staff and clients.
- Provide information and assistance to clients and interested parties, maintaining clear and professional communication.
- Ensure the confidentiality of clients' financial and personal information.
- Follow secure practices for managing and storing sensitive data.
- Manage emails, phone calls and correspondence, filtering and prioritizing as necessary.
- Prepare and review documents, presentations and reports according to the executive's instructions.
- Manage the logistics of events and meetings, ensuring smooth execution.
- Perform general administrative tasks, such as filing, organizing documents, and maintaining office supplies.
- Collaborate with other departments as necessary to facilitate operational efficiency.
- Collaborate closely with accountants and tax professionals to ensure accuracy and timeliness in financial reporting.
- Assist in the preparation of accounting documents, including invoices, account statements, and transaction records.
- Maintain updated and organized records, ensuring compliance with tax and accounting regulations.
- Stay abreast of changes in tax laws and accounting regulations in the United States.
- Oversee daily office operations, including managing administrative staff, managing office supplies, and maintaining the office environment.
Requirements:
- Bilingual: English and Spanish.
- Experience working in accounting offices and/or tax preparation.
- Experience in employee management.
- Experience with Sales Force.
- Experience as an executive assistant.
- Excellent organization, attention to detail and time management skills.
