Job Description:
As an Administrative Assistant, you will play a key role in ensuring the smooth operation of our dental clinic by performing a variety of administrative tasks. You will be responsible for managing office operations, assisting patients with inquiries, and providing support to our dental team. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a positive attitude.

Responsibilities:

  • Greet patients and visitors, answer phone calls, and respond to inquiries in a professional and courteous manner.
  • Schedule appointments, coordinate patient referrals, and manage the clinic's appointment calendar.
  • Assist with patient intake procedures, including verifying insurance coverage and updating patient information in electronic health records (EHR) systems.
  • Process payments, prepare invoices, and maintain accurate financial records.
  • Manage office supplies inventory, order supplies as needed, and ensure the efficient operation of office equipment.
  • Assist with administrative tasks such as filing documents, scanning records, and organizing patient files.
  • Coordinate with dental assistants, hygienists, and dentists to ensure seamless patient care and clinic operations.
  • Prepare correspondence, reports, and other documents as requested by management.
  • Maintain confidentiality of patient information and adhere to HIPAA regulations.
  • Provide administrative support to the dental team as needed.

Requirements:

  • High school diploma or equivalent; associate's degree or certification in office administration is preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in using office software such as Microsoft Office (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Customer service-oriented with a positive and professional demeanor.
  • Knowledge of dental terminology and procedures is a plus but not required.
